Position Overview
As a Communications and Admin Officer, you will provide direct support to the South Gippsland Bass Coast VET Manager to optimize their role and ensure effective organizational flow. You will lead administrative tasks, oversee communications, and work with stakeholders to share updates regarding the VET cluster. Additionally, you will provide critical support to the broader South Gippsland Bass Coast LLEN team.
Roles & Responsibilities
Communications & Stakeholder Engagement
- Storytelling: Create public-facing materials to share positive stories from the region's VET Cluster.
- Media Management: Create and edit content for media releases, social media campaigns, and website updates.
- Professional Correspondence: Compose and proofread reports and correspondence from verbal direction or company policy.
Administrative & Executive Support
Managerial Support: Anticipate and prepare materials for conferences, appointments, and meetings; manage complex travel and venue reservations.
- Information Management: Analyze complex info requests and prepare specialized one-time reports or summaries.
- Confidentiality: Handle sensitive administrative details using high-level judgment and initiative.
- Software Mastery: Create, edit, and format advanced Word, Excel, and PowerPoint documents.
Operations & Finance
Transport Funding: Process administrative tasks for the VET DSS Flexible Transport Fund (bookings, tracking, and reporting).
- Budgeting: Assist in the development of the VET Cluster’s budget and business planning functions.
- Technical Support: Manage school VR headset bookings and assist in onboarding school staff with headset training.
Experience & Education
Qualifications: Cert IV in Business Administration (or equivalent years of experience).
- Tech Savvy: Advanced proficiency in Microsoft Suite and Google Workspace.
- Soft Skills: Strong oral/written communication, persistent time management, and a growth mindset regarding feedback.
- Initiative: Ability to anticipate problems, identify opportunities, and work collaboratively toward common goals.
- Organization: Excellence in diary management, filing procedures, and customer service.
