Title: Administrative Officer - Contracts
Contract: Temp, 6-month period (possibility of extension)
Pay Rate: $47.43 per hour
(Note: this hourly rate includes 25% loading)
40 hours per week - 8 hours per day, with a mandatory break after 5 hours.

Key role of this position
Provides support in the administration of contracts, which directly relate to the Division’s rail network and facilities; and provides effective and efficient administration support to the Division’s Contracts Team.
Core duties and responsibilities
Business Support
- Contributes to both the Branch operational performance and the delivery of Contract Administration leading to the effective delivery of services
- Contributes to the branch engagement and performance by contributing ideas and opinions for improvement; delivering against Divisional and Branch objectives and management expectations; maintaining and developing competence and supporting the development of others.
- Contributes to developing a positive safety culture, contributing ideas and opinions for continuous improvement in workplace safety and project delivery ensuring works carried out comply with department requirements and other legislative requirements.
- Provides support and contributes to project delivery, such as risk management, performance reporting and continuous improvements to ensure the branch delivers in accordance with department requirements
Operational Management
- Provides support and assistance to the Division’s Contracts team.
- Assists with administrative functions relating to the operation of the Division as required; assists with the preparation of contract documentation and the administration of contracts; prepares contract review meeting administrative documentation; minutes contract review meetings.
- Provides support to the Divisional Contracts Team in maintaining the currency of contractual documents; maintains records in line with the team’s contract administration systems.
- Reconciles accounts received from contractors and ensures payments are correctly coded and processed through the finance system in a timely manner; investigates and corrects all discrepancies and errors detected in the processing of invoices; liaises with contractors, suppliers and vendors in relation to supply progress, contracts or finance related matters.
SELECTION CRITERIA
Core Competencies
- Demonstrated understanding of financial transactions, i.e. invoicing and reconciliation.
- Experience in providing administration within a finance, contracts or procurement area.
- Demonstrated capacity to apply customer service principles.
- Sound analytical and conceptual skills.
- Competency in the use and application of a PC including the ability to undertake spread sheet tasks.
